Established in April 2016, the Defence Nuclear Organisation (DNO) delivers nuclear capability to deter threats and protect our nation.

The DNO oversees all defence nuclear business (excluding operations) and is responsible for providing nuclear deterrence; sponsoring the Defence Nuclear Enterprise (all the organisations, programmes and people that sustain the UK’s nuclear deterrent); and advising on UK nuclear policy, planning and international co-operation on nuclear matters.

The UK’s independent nuclear deterrent has existed for over 60 years to deter the most extreme threats to our national security and way of life, and that of our NATO Allies. To ensure that we have a credible and capable nuclear deterrent for as long as the security situation requires, we are building four new nuclear armed submarines – known as the Dreadnought Class – and replacing our nuclear warheads. These renewal programmes will utilise world-leading technology and are a showcase in science and engineering, highlighting the prowess of British industry.

SSPAG is part of the Defence Nuclear Organisation (DNO). The purpose of the DNO is to keep safe and capable submarines at sea today and in the future – providing the UK’s strategic deterrent and supporting global security. SSPAG provides independent assessment of the UK’s Nuclear Deterrent through a programme of technical studies and audits of key Deterrent capabilities. Our assessments are central to senior decision making within the Ministry of Defence.

This position is advertised at 37 hours per week.

Job description

The nature of SSPAG means there is a significant quantity of sensitive information that flows into and out of the department. The role of the Registry team is to manage this information flow and ensure that it is handled to conform to MOD policy. The Registry team also assists with managing and archiving historical records within SSPAG. We are looking for an individual with experience of sensitive management systems and administration to join our growing team.

The primary responsibilities of this role are:

  • Managing the storage and distribution of SSPAG communications
  • Managing the internal storage and inventory of SSPAG documents and information

The role also supports the Registry team with the following:

  • Assisting the Knowledge Manager with the handling and archiving of SSPAG documents.
  • Supporting the overall management of classified documents across all information management systems.
  • Assisting the Branch Security Officer (BSO) in the annual muster of all classified material held within SSPAG as required by JSP 440.
  • Securely handling all classified materials by following MOD procedures; including following the document recording process to ensure correct information is captured at all times.
  • Assisting with travel booking, including hotels and transport.
  • Sending and receiving mail of different classifications to and from stakeholders.

Hybrid and flexible working can be considered for this post but will need regular workplace attendance due to security constraints. Candidates are encouraged to discuss options with the recruiting line manager before submitting an application.

Skills and Experience

Essential:

  • Good organisational skills for tasks such as filing and scheduling
  • Good communication skills
  • Good knowledge of Microsoft Office systems (Word, Outlook, etc.)
  • Good customer service skills
  • Strong time-management skills and taking initiative in work without immediate supervision

Desirable:

  • Experience in document management and organisation
  • Previous experience in an administrative position
  • Knowledge of MOD Security processes and procedures including JSP 440

3.              As per Paragraph. 1.41 of the Civil Service Nationality Rules:

a.                  ‘Candidates with dual nationality are in principle eligible for employment in the

Civil Service provided that they meet the requirements in relation to one of their nationalities [i.e. UK National]. They may not be eligible, however, for employment in certain reserved posts where additional nationality requirements are imposed.’
