Job summary

What are we looking for? 

Are you an organised and detail-oriented professional looking for an opportunity to contribute to a dynamic finance department? We are seeking a talented individual to provide efficient administrative support that ensures the smooth operation of our team. In this role, you will manage routine finance functions, handle business unit KPI and DPI schedules, and assist the Senior Finance Business Partner in budgeting and forecasting efforts.

As our Administrative Support Specialist, you will play a vital role in maintaining our purchase to pay system while offering training to new users and providing general administrative support. We are looking for someone with exceptional communication skills, strong proficiency in MS Office, and a high level of numeracy and literacy. Your attention to detail, ability to work under pressure, and collaborative spirit will be essential to our success.

Job description

What you will be doing

  • Develop and maintain business unit tasks, project and resourcing plans. 
  • Team diary management, arranging meetings, minute taking of team meetings, recording and progressing actions. 
  • Routine finance functions including taking payments, weekly review of staff expenses, getting invoices approved and released in to the accounting system (SUN Accounts). 
  • Maintenance of business unit’s KPI and DPI schedules and ensuring that Primary Performance target is met. 
  • Support the Senior Finance Business Partner with the production of the annual budget and the quarterly forecasts. 
  • Assist with the distribution of the monthly management accounts to the Heads of all business units. 
  • Lead on the maintenance of the purchase to pay system, ensuring the workflows match delegations, providing reports where relevant and training new users. 
  • Admin support to the Procurement Business Partners 
  • General administrative support 
  • Undertake any other reasonable duties as requested from time to time, within the job-holder’s capabilities.
