Job description

Active Travel England (ATE) is the government’s executive agency responsible for making walking, wheeling and cycling the preferred choice for everyone to get around in England.

There has never been a more exciting time to join us to create happier, healthier communities, by helping to transform local transport and enabling half of all short journeys in England’s towns and cities to be walked or cycled by 2030. We are raising the standards of walking, wheeling and cycling infrastructure across England, by overseeing improved design, increasing skills and capability in local authorities.

Within the Operations directorate, you will be part of a multi-disciplinary team that covers HR, Finance, Communications, Programme Management Office, and Investments. We are at the heart of everything ATE does and ensuring that the Agency is successful in delivering its objectives.

You will be a member of the Finance and Corporate Services team within ATE. Its role is to manage ATE’s correspondence, our compliance with data protection legislation and provide secretariat support to ATE’s boards.

As Correspondence and Data Protection Manager you will be responsible for ensuring all our correspondence, including letters from members of the public, Members of Parliament, and Freedom of Information requests, are answered within departmental guidelines. You will work with colleagues to draft high quality responses.

As ATE’s data protection champion you act as the first point of contact for data-protection issues and champion best practice across the organisation. You will proactively look to solve problems by working with teams to develop key products and ensure processes are developed compliantly.

You will also provide support to the wider organisation. As secretariat support, you will assist the Board Secretariat in its administrative functions including sending out appointments, circulating papers and taking minutes of the meetings. You will also provide ad-hoc support to the finance team such as preparing journals and payments. 

Responsibilities 

Your duties will include:

  • Leading across the agency to ensure all correspondence is produced to the required standard and in line with the relevant deadlines.
  • Working with teams to produce high quality replies to Ministerial Correspondence, Treat Official cases, Freedom of Information requests and Parliamentary Questions.
  • Lead on data protection management across the agency, being a visible and trusted voice to staff through providing advice and engagement with the DfT DP Team,
  • Develop our procedures for data protection including our Records of processing activities (ROPA), and ensure we are compliant with legislative requirements and government best practise,
  • Act as a specialist requisitioner to provide support for procurement within the agency including managing issues with problem suppliers, and upskilling staff across the agency on procurement needs.
  • Provide ad-hoc support to the finance team by liaising with staff on the update and first line review of risk and assurance activities.
  • Supporting the Board Secretariat in the running of Active Travel England’s programme boards including sending out appointments, distributing papers and taking minutes.

Person specification

To be successful in this role, you will have: 

  • You will have experience of dealing with high profile correspondence and a good knowledge of relevant legislation.
  • You will have experience of managing data protection issues and developing key products such as Data Protection Impact Assessments.
  • You will have excellent communication skills, both orally and in writing, with the ability to draft letters and minutes effectively.
  • You will be able to prioritise and proactively handle challenging demands, to deliver results against deadlines and key performance indicators.
  • You will be able to work collaboratively across an organisation working with a range of stakeholders to understand and encourage positive outcomes on issues.
  • You will be adaptable and flexible delivering a range of duties for Senior Managers and providing support for the rest of the team.

Additional Information

A minimum 60% of your working time should be spent at your principal workplace, although requirements to attend other locations for official business, or carry out detached duty in another DfT workplace, will also count towards this level of attendance.
