FIOC UK provides 24/7 liaison and technical support to Royal Navy and other nations’ warships deployed globally, as a critical enabler for Navy operations around the world.

This position is advertised at 37 hours per week.

Job description

The Administration Support Officer (ASO) is a newly established position within FIOC UK.

Working in a small team alongside the Unit Warrant Officer, the ASO is responsible for the coordination and delivery of a range of administrative tasks. The role directly supports over 60 Royal Navy personnel and is a critical enabler for the delivery of a diverse range of operational outputs.The core tasks of the ASO will include:

  • Coordinate FIOC UK workforce travel requirements, including budgetary approval requests, costings, booking and database accountability.
  • Conduct record management using MOD administrative tools and systems to maintain Unit compliance.
  • Manage the Unit workforce list, which details the arrival and departure schedule of FIOC UK personnel.
  • Act as Training proficiency coordinator and course booking agent.
  • Maintain and update workforce terms of reference and job specifications.

Full training and mentorship will be provided to ensure you are best able to perform the role. As a new role, this provides an exciting opportunity for the incumbent to work with others in FIOC UK and wider MOD Collaborators to establish this new post and provide best support to global operations.

Person specification

Being organised and having good interpersonal skills are highly desirable characteristics, as it will greatly assist with the daily tasks involved in this role. Most tasks will have a computer-based aspect, having a good knowledge of using common Microsoft applications (Outlooks, MS Teams, Excel, Word) would be beneficial. however, some applications may be unfamiliar, so it is expected that orientation and internal training will be required to become fully established in the role. This position is also dependent on applicants’ achievement of Developed Vetting (DV) and additional security clearances.

An apprenticeship is a combined package of work and training. Through an apprenticeship you will gain professional knowledge, practical experience, and the broader skills required to upskill you in your current role and pave the way for your future career. Most of the training will be ‘on-the-job’, with the remaining ‘off-the-job’ training often delivered by a training provider. This means minimal disruption and maximum impact.

Professional qualifications can be achieved through an apprenticeship and range from Level 2 (equivalent to 5 GCSEs), Level 3 (equivalent to 2 A Levels), and Levels 4 -7, which can give you a foundation degree, a full Bachelor’s degree, or a Master’s degree.

Apprenticeships normally last between 12 months - 3 years, depending on the level of the apprenticeship.

Anyone can undertake an Apprenticeship and everyone, regardless of age, can benefit from developing their skills in an accredited way.

Successful candidates can discuss their development options with their manager when in post. 

Where business needs allow, some roles may be suitable for a combination of office and home-based working.  This is a non-contractual arrangement where all office-based employees will be expected to spend a minimum of 60% of their working time in office, subject to capacity and any required workplace adjustments. Requirements to attend other locations for official business, or work in another MOD office, will also count towards this level of attendance. The post does not offer relocation expenses.

External recruits who join the MOD who are new to the Civil Service will be subject to a six-month probation period.
