Job description

Role Overview

The Accounts/ Payroll Assistant will be responsible for:

  • Process purchase invoices - receiving, logging invoices from suppliers and obtaining necessary approvals.
  • Handle both internal and external queries related to payments and invoices.
  • Produce payment runs and payment journals twice weekly.
  • Review and reconcile the aged creditor reports and resolve any outstanding issues.
  • Assist on coding queries including VAT codes.
  • Prepare monthly accruals for unposted purchase invoices.
  • Assist with monthly balance sheet reconciliations.
  • Ensure all suppliers and employees are paid accurately and on time.
  • Assist the Payroll lead in preparing the monthly data and reconciling payroll records against HR records.
  • Assist in payroll processing and reconciling monthly payroll payments.
  • Assist with HMRC, RTI, Pension reporting and payments.
  • Handle payroll queries from both internal and external stakeholders.
  • Support other team members to ensure accuracy and that reporting deadlines are met.
  • Assist with the month/year-end procedures and the annual audit.
  • Take on ad-hoc projects as required.

  • Intermediate to advanced proficiency with accounting software and Microsoft Office, particularly Excel and Word.
  • Good knowledge and user experience of a finance or an ERP system.

Flexible Working

At MaPS, we take pride in our flexible approach to work. As standard, we work on a hybrid basis with a minimum of 2 days in the office per week. Hybrid working is a voluntary, non-contractual arrangement and our headquarters in Bedford will be your contractual place of work. The number of days that anyone will be able to work at home will be determined primarily by business needs, but personal and other relevant circumstances will also be considered. If you are successful, any opportunities for hybrid working, including whether a hybrid working arrangement is suitable for you, will be discussed with you prior to you taking up your post.
