Job summary

The Ministry of Defence employs over 50,000 Civil Servants. Within that, the Army Top Level Budget (TLB) employs around 7,000 MOD Civil Servants located at over 300 locations. Ours is a diverse workforce, with roles ranging from trainers, human resources, teachers, and psychologists to storekeepers, financiers, project and programme managers, and policy secretariat staff. There are many different functions and professions delivering key outputs for the Army. 

The Defence School of Logistics and Administration (DSLA), one of three schools in the Defence College of Support (DCSp) delivering training to all Army, Royal Navy and Royal Air Force service personnel in Supply, Distribution, Catering, and Personnel Administration. We are predominantly based at Worthy Down - a newly built, modern campus in Winchester.

This role sits within the Training Support Wing, providing multiple specialised capabilities under one command, providing first class support which underpins all training delivery.  DSLA is seeking a Training Resources Support Officer to sit within the Training Resources Team providing administrative support to Training Delivery staff and trainees. Ensuring all course spaces are filled and resources are prepared for delivery outputs to be completed by the trainers.
  
The position is advertised at 37 hours per week. You will be required to attend the office 5 days a week for the duration of your training period, which can then be reviewed upon completion.

Job description

You will coordinate course scheduling, resource, and administration support activity to DSLA Worthy Down, to ensure that agreed training outputs are delivered.

Main responsibilities of the position include;

  • Carry out scheduling process for courses as required
  • Monitor and optimise initial trade training pipeline, ensuring training is scheduled according to requirements
  • Manage and co-ordinate the pre and post course administration for all courses delivered
  • Ensure all training courses are loaded on to bespoke applications in accordance with policy
  • Fulfil Line Management responsibilities for personnel allocated in accordance with policy, may be civilian or military personnel
  • Create and prepare reports as required
  • Coordination with other departments within the College and with external organisations to ensure that the most appropriate resources are available for students for the duration of their course
  • Act as the point of contact for stakeholders on matters relating to course or student administration
  • Maintenance of the allocation and upkeep of course allocations, reporting faults and submitting proposals for improvement when necessary
  • There may be a requirement to deputise for the head of the Course plans and resources in times of absence.

The Training Resources Team at DSLA provides administrative support to DSLA to ensure agreed training outputs are delivered. 

The post holder will join a busy and lively team within the Defence School of Logistics based at Worthy Down. Providing support activity to DSLA during a period where several schools have merged into one. Throughout this exciting time these positions are vital to the success of the school. 

The role includes management responsibilities for x3 administrative officers and requires the manager to assist and ensure all trainees are loaded onto the appropriate training courses, coordinating eligibility checks, issuing of Joining Instructions, and booking resources so trainees can enhance their training opportunity whilst they are at DSLA Worthy Down.

This position is both varied and exciting for those looking to learn and develop their skills with the business. You will be diligent in your work with the ability to work independently and in a team environment with accurate and informational output. You will have day to day engagement with staff members of all Services and grades so strong communication skills (both written and oral) will prove successful combined with IT proficiency in Microsoft Office packages (Outlook, Word, Excel, MS Teams).

You will need to be able to demonstrate strong planning skills, time management and interpersonal skills.
